The short version
- We collect only what we need to plan your trip and build your Trip Hub.
- We never ask for passport numbers, card numbers or booking passwords. Card payments are handled by Stripe; we never see your card number.
- We don't sell your data, and our site has no advertising trackers.
- Your details go to a personal travel manager only if you choose one.
- Your trip details are deleted 30 days after your trip ends. Before that, we email you a link to download everything. You can ask to see, correct or delete your data at any time.
01Who we are
Prism Voyage is operated by Ignis Terra AI Solution LLC, registered in Wyoming, USA. We decide how your personal data is used for our services, and we're responsible for it. For anything about your data, write to [email protected].
02What we collect
| When | What |
|---|---|
| You pay | Your name and email address, passed to us by Stripe, plus what you bought and when. Stripe keeps your billing details under its own policy. We never see your full card number. |
| You confirm your email | Your email address, and a one-time code. We store only a scrambled (hashed) version of the code, and it expires after 15 minutes. |
| You send your trip details | How to address you, who's travelling (numbers, children's ages), dates, where you start from, where you'd like to go, the purpose of the trip, your preferences and budget range, any food needs and access or mobility needs you choose to share, how you'd like to book, and any links or files you add |
| You set up a Trip Hub | Travelers' names as they appear on bookings, the confirmations you forward, a phone or WhatsApp number for the trip, and an emergency contact at home |
| You write to us or the Concierge | Your messages and our replies |
| You visit the site | Technical data processed by our hosting provider to keep the site secure and working, such as your IP address, browser type and the pages requested |
We never collect passport numbers, card numbers (not even the last four digits) or passwords for any booking account. If you send them to us by mistake, we delete them.
03Food, access and children
- Food and access needs can say something about health. Sharing them is always optional. We ask what help you need, never for a diagnosis, and we use the answers only to plan your trip. By sending them, you consent to that use, and you can withdraw your consent at any time.
- Children's details (such as ages, and names in a Trip Hub) come from their parent or guardian, and are used only to plan and organise the trip. Our services are not for children to buy.
04How we use it
| Purpose | Why we're allowed to |
|---|---|
| Writing your proposal, building your Trip Hub, and emailing you about your order | To provide the service you bought |
| Using food and access needs | Your consent |
| Introducing you to a personal travel manager | Your choice (consent) |
| Payments, refunds, accounting and tax | Legal obligations, and providing the service |
| Keeping the site and your data secure, and preventing fraud | Our legitimate interest in running a safe service |
| Improving our work, using summaries that don't identify you | Our legitimate interest |
We don't use your data for advertising, and we don't make decisions about you by automated means that have legal or similarly significant effects.
05AI tools
We use AI tools to research and draft proposals, so your trip details are processed by an AI provider. We use AI services under business terms that don't allow the provider to train its models on your data. A person reviews everything before it reaches you.
08International transfers
We're based in the United States and our service providers operate worldwide, so your data may be processed outside the country where you live. Where the law requires it, we rely on safeguards such as the European Commission's Standard Contractual Clauses.
09How long we keep it
| Data | Kept for |
|---|---|
| Trip details, proposals and Trip Hubs (including confirmations, phone numbers and emergency contacts) | 30 days after your trip ends. When your trip ends, we email you a link to download your whole trip record. Then everything is deleted and your links stop working. If there's no trip date, 6 months after our last service. |
| Order record (what you bought, when you sent your details, when we delivered, your acceptance of our terms) | 180 days after your trip ends, in case of a payment dispute. It contains no trip details. |
| Payment and invoice records | As long as tax and accounting laws require, usually up to 7 years |
| Email confirmation codes | Expire after 15 minutes, and are deleted soon after |
| Emails with us | Deleted with your trip details, unless needed for an open refund or complaint |
Want it gone sooner? Use the delete button in your download email, or write to us. We'll keep only the order record and what the law requires.
10Your rights
Wherever you live, you can ask us to:
- tell you what data we hold about you, and give you a copy;
- correct anything that's wrong;
- delete your data;
- send your data to you or someone else in a usable format;
- stop or limit a use of your data, or withdraw a consent you gave.
Write to [email protected]. We'll reply within 30 days, and we may ask you to confirm your identity first. We'll never treat you differently for using your rights.
If you're in the EU, UK or another place with a data-protection authority, you can also complain to that authority. California residents have the rights described here under the CCPA, and we don't sell or share personal information as defined by it.
11Security
- Everything travels over encrypted connections (HTTPS).
- Access to your data is limited to our team, through verified accounts.
- Proposal and Trip Hub links are private and hard to guess. Anyone with the link can open it, so please share it only with your fellow travelers.
- We collect as little as we can. Data we never hold can't be lost.
No system is perfectly secure. If a breach affects your data, we'll tell you and the relevant authorities as the law requires.
12Changes to this policy
If we change this policy, we'll update the date at the top. If the change matters to how we use your data, we'll tell you by email before it applies.
